How to fill out a Receipt

A receipt is a written record confirming that a payment was received. It shows who paid, how much, for what and by which method, giving the customer proof of purchase and the seller a record of the sale.

How to fill it out

  1. Enter your business name and contact information in the From box.
  2. Write the customer's name in Received From and give the receipt a number.
  3. Check the payment method and add a check number or card reference if you have one.
  4. List what was paid for with quantity and unit price — amounts and the total are calculated automatically.
  5. Enter a sales tax rate if it applies, and add any note such as a return policy.
  6. Sign in the Received by line, then print it or save it as a PDF for the customer.

Tips

  • Use sequential receipt numbers so every payment can be matched to your books.
  • For cash payments, a signed receipt is the customer's best proof of payment — always give one.
  • If the payment only covers part of a balance, note the remaining amount in Notes.
  • Keep a copy for your own records; receipts back up income and deductions at tax time.

FAQ

What should a receipt include?

At minimum: the seller's name, the date, a description of what was paid for, the amount paid and the payment method. A receipt number and the customer's name make it easier to track.

Is a handwritten receipt valid?

Generally, yes. A clear, signed receipt with the date, amount and description is a valid record of payment, whether it is handwritten or printed.

Can I use this as a rent receipt?

You can, but the rent receipt template has fields for the rental address and rent period, which tenants and landlords usually need.
