How to fill out a Rent Receipt

A rent receipt is a written record from a landlord confirming that a tenant paid rent for a specific period. It shows who paid, how much, for which property and period, how it was paid and any balance still owed.

How to fill it out

  1. Enter a receipt number and the date the payment was received.
  2. Fill in the tenant’s name, the rental property address and the rental period covered.
  3. Check the payment method and add the check or reference number if there is one.
  4. List the rent and any other charges paid; the total is calculated automatically.
  5. Note the total due for the period and any balance remaining.
  6. Sign as landlord or agent and give the tenant a copy.

Tips

  • Always give a receipt for cash payments — some states require it.
  • Use one receipt number sequence per property so payments are easy to track at tax time.
  • Write “Paid in full” or the exact remaining balance to avoid disputes later.
  • Keep copies of every receipt for your records.

FAQ

Does a landlord have to give a rent receipt?

In several states landlords must provide a receipt for cash rent payments, and tenants can usually ask for one at any time. Even when it is not required, a receipt protects both sides.

What should a rent receipt include?

The date, tenant’s name, property address, amount paid, rental period, payment method, balance due and the landlord’s or agent’s signature.

Can I use this for partial payments?

Yes. Enter the amount actually received and the balance remaining so both sides have a record of what is still owed.
