How to fill out a Packing Slip

A packing slip is a document placed inside a shipment that lists the items in the package. Unlike an invoice, it shows quantities but not prices, so the recipient can check the contents and see which items were back-ordered or shipped separately.

How to fill it out

  1. Enter your business name and return address in From and the recipient's name and address in Ship To.
  2. Fill in the order number, order date, ship date and the customer's PO number if any.
  3. Add the carrier (Ship Via) and the tracking number.
  4. List each item number and description with the quantity ordered and quantity shipped — back-ordered quantities are calculated automatically.
  5. Note any back-order or return instructions, record who packed and checked the box, and print a copy to put in the package.

Tips

  • Leave prices off the packing slip, especially for gift orders or drop shipments.
  • Have a second person check the box against the slip before sealing it to cut shipping errors.
  • Place the slip in a clear envelope on the outside of the box or inside on top of the items.
  • Use the same order number as your invoice so customers can match them easily.

FAQ

What is the difference between a packing slip and an invoice?

A packing slip lists what is in the box so the recipient can check it; it normally has no prices. An invoice is a bill requesting payment.

Is a packing slip the same as a shipping label?

No. The shipping label goes on the outside of the box and tells the carrier where to deliver it. The packing slip lists the contents for the recipient.

Do I need a packing slip for every order?

It is not legally required for domestic orders, but it helps customers confirm their order and makes returns and missing-item claims easier.
