※ For any single gift of $250 or more, donors need a written acknowledgment like this one before filing. If a payment over $75 is partly for goods or services, state their value. For non-cash gifts, describe the property but do not value it; the donor determines value. Not tax advice.

A donation receipt is a nonprofit’s written acknowledgment of a gift. Donors need one for any single contribution of $250 or more to claim a deduction. It shows the organization and EIN, the donor, the date and amount of cash gifts, a description of non-cash gifts and whether anything was given in return.

How to fill it out

  1. Enter the organization’s name, address, EIN and tax status.
  2. Add the donor’s name and address and a receipt number.
  3. List cash gifts with date, method and amount — the total adds up automatically.
  4. Describe any non-cash property without putting a value on it.
  5. Tick the goods-or-services statement, then sign and send it to the donor.

Tips

  • Send receipts promptly, ideally by January 31 for the prior year.
  • Never value donated property for the donor.
  • For event tickets or gifts, state the fair market value received.
  • Keep a copy of every receipt.
