How to fill out an Invoice

An invoice is a bill you send a customer asking for payment for goods or services you have already provided. It lists what was delivered, the amount due, and when and how to pay, and it becomes part of both businesses' financial records.

How to fill it out

  1. Enter your business name, address, phone and email in the From box.
  2. Add the client's name and billing address under Bill To.
  3. Give the invoice a unique number, the invoice date, the due date and your payment terms (for example, Net 30). Add the client's P.O. number if they gave you one.
  4. List each product or service with a quantity and unit price — the amount, subtotal and total are calculated for you.
  5. Enter your local sales tax rate if the items are taxable, or leave it at 0.
  6. Add payment instructions and late-fee terms in Notes, then print or save as PDF and send it.

Tips

  • Number invoices in sequence (INV-2026-001, 002…) so you can track which ones are paid.
  • Spell out exactly how to pay — ACH details, mailing address for checks, or a payment link — to avoid delays.
  • Sales tax rules depend on your state and what you sell; many services are not taxable while most goods are. Check your state's revenue department.
  • Keep a copy of every invoice; the IRS generally recommends keeping business records for at least three years.

FAQ

What is the difference between an invoice and a receipt?

An invoice asks for payment that is still owed. A receipt confirms that payment has already been received. Many businesses send an invoice first and a receipt after the customer pays.

What does Net 30 mean on an invoice?

Net 30 means the full amount is due within 30 days of the invoice date. Other common terms are Due on Receipt, Net 15 and Net 60.

Do I need to charge sales tax on my invoice?

It depends on your state and whether the product or service is taxable there. If you are required to collect sales tax, enter the rate and it is added to the total automatically.
