A move-in / move-out inspection checklist records the condition of a rental unit room by room when the tenant moves in and again when they move out. It is the main evidence for any security deposit deductions.

How to fill it out

  1. Fill in the property address, tenant, landlord and move-in date.
  2. Walk through each room with the tenant and enter a condition code and notes.
  3. Both parties sign the move-in line and keep copies.
  4. At move-out, inspect again, fill in the move-out columns and any charges.
  5. Both parties sign the move-out line.

Tips

  • Take dated photos or video to back up the checklist.
  • Normal wear and tear cannot be deducted from the deposit.
  • Many states require an itemized deposit statement within a set number of days.
  • Give the tenant a copy right after the move-in inspection.
