※ Not legal advice. Required notice periods (often 30–60 days, longer in some cities), allowed reasons for ending a tenancy, and how notice must be delivered are set by state and local law. A fixed-term lease generally cannot be ended early without a legal reason or the tenant’s agreement.
How to fill out a Lease Termination Letter
Free Lease Termination Letter template
A lease termination letter is a landlord’s written notice that a tenancy will end on a set date — for example, ending a month-to-month rental or not renewing a fixed-term lease. It confirms the move-out date, how to return keys, the final rent, the inspection and the deposit return.
How to fill it out
Enter your name and contact details as landlord or property manager, and the tenant's name and address.
In the letter, name the tenancy (month-to-month or the lease date), the termination date and, if you wish, the reason.
Fill in the move-out date, where to return keys, the final rent due and when the move-out inspection will be.
Explain how and when the security deposit will be returned, and ask for a forwarding address.
Sign and deliver it the way your state requires — often in person or by certified mail — and note the delivery method and date on the letter.
Tips
Look up your state and city notice period before you set the date. Some cities require longer notice or a legal reason to end a tenancy.
Send it by certified mail with return receipt, or hand-deliver it with a witness, and keep proof of delivery.
Keep the tone neutral and stick to dates and logistics.
Never use a termination notice to retaliate for a complaint or repair request, or to discriminate — both are illegal.
Keep a copy with the lease and your deposit records.

FAQ
How much notice must a landlord give?
For month-to-month tenancies it is often 30 days, but some states require 60 days or more after a year or longer of tenancy, and some cities require a legal reason to end a tenancy at all.
Can I end a fixed-term lease early?
Generally not, unless the lease allows it, the tenant has seriously broken the lease, or the tenant agrees in writing.
Is this an eviction notice?
No. Eviction notices for unpaid rent or lease violations have specific legal forms and deadlines. This letter ends a tenancy at the end of its term or notice period.
Is this legal advice?
No. It is a general template, not legal advice. Notice periods and delivery rules are set by state and local law, so check them or ask an attorney.
