How to fill out a Meeting Minutes
Free Meeting Minutes template
Meeting minutes are the official written record of a meeting: who attended, what was discussed, what was decided and who will do what by when. This template keeps them short, clear and easy to follow up on.
How to fill it out
Fill in the meeting title, date, time, location or call link, chair and note taker.
List who attended and who was absent.
Write the agenda items, then summarize key discussion points for each topic.
Record decisions and any votes exactly as they were made.
List action items with an owner, due date and status, then note the next meeting and approval date.
Tips
Record decisions and action items, not every word said.
Send the minutes within a day while everyone still remembers the meeting.
Give every action item one owner and a due date.
Have the minutes approved at the next meeting for a formal record.

FAQ
What should meeting minutes include?
Date, time, place, attendees, agenda, key discussion points, decisions, action items with owners and deadlines, and the next meeting date.
Who should take meeting minutes?
A designated note taker or secretary who is not running the meeting, so the chair can focus on leading the discussion.
Do minutes need to be approved?
Boards and committees usually approve the previous meeting’s minutes at the start of the next meeting. For informal team meetings, sharing them is usually enough.
