How to fill out a Proof of Income Letter
Free Proof of Income Letter template
A proof of income letter confirms how much a person earns. Employers, clients or accountants write it for landlords, lenders or benefit agencies. It gives the person’s role and start date and a short table of income by type, frequency and gross amount.
How to fill it out
Add your company or name and contact details at the top, and the landlord, lender or agency as the recipient.
In the letter body, choose whether the person is an employee, a contractor or receives other payments, and enter the start date.
Fill in the person's name, position, start date and status.
Add a row for each type of income — salary, hourly wages, commission, contract payments — with how often it is paid, the gross amount and the yearly equivalent.
Add a phone number or email for verification, then sign and send it to the recipient or give it to the person.
Tips
Use gross (before-tax) amounts unless the recipient asks for take-home pay, and say which one you used.
Only include what the recipient needs — usually not Social Security numbers or bank details.
Print it on company letterhead if you have it; it is easier for landlords and lenders to accept.
Make sure the numbers match recent pay stubs or 1099s, since the recipient may ask for those too.

How do self-employed people prove income?
With tax returns, Forms 1099, bank statements, a profit-and-loss statement or a letter from their accountant.
